Job Purpose Summary

Role Responsibilities
The Finance Administrator is responsible for supporting the day to day financial operations of the organisation. This includes processing accounts payable and receivable transactions, issuing invoices, managing payments, performing reconciliations, and assisting with general office administration. The role works closely with the Finance leader of the company to ensure accurate financial records, timely reporting, and efficient administrative support across the business.
Accounts Payable
• Accurately code, process, and post supplier invoices into the Company accounting system.
• Verify the completeness and accuracy of purchase invoices, including proper approvals.
• Prepare and process supplier payments in line with internal procedures and payment schedules.
• Maintain vendor records and support the resolution of invoice or payment discrepancies including communication with vendors.
• Complete vendor reconciliations and work to resolve reconciling items where needed.
Accounts Receivable
• Generate and issue customer invoices in accordance with sales and contract terms.
• Record incoming payments and allocate receipts to the correct accounts.
• Monitor outstanding receivables and follow up proactively on overdue customer invoices.
• Handle sales returns, credit notes, and any associated adjustments.
• Monitor customer credit limits and support credit management decisions.
• Communicate professionally with customers regarding invoice queries and payment matters.
Additional Responsibilities
Invoice Assignment
• Prepare and transfer customer invoices to the company bank account through the designated system or interface.
• Process daily cash postings in company accounting software from bank statements.
• Ensure timely and accurate submission aligned with banking and internal requirements.
Monthly Reconciliations
• Assist in completing monthly financial reconciliations (e.g., bank, intercompany, balance sheet accounts) and resolving reconciling items as they appear / exist.
• Perform ongoing account reconciliations to maintain accuracy and resolve discrepancies.
• Support the Finance leader in month-end closing activities.
• Other finance tasks as required supporting the finance leader.
Office Administration
• Perform general office administration duties to support smooth daily operations.
• Manage ordering of office supplies, fruit, breakfast, and other related items.
• Coordinate with vendors and ensure timely delivery of office-related services.
Other Responsibilities
• Support the Finance leader with ad-hoc financial tasks, reporting, and analysis.
• Contribute to continuous improvement of finance and administrative processes.
• Undertake additional duties that arise within the scope of the role.
• Ensure compliance with policies and company internal controls.
• The job description may be updated as the role evolves.
• Contribute to process improvement initiatives and documentation updates.
Skills & Personal Attributes
• Finance degree and / or worked in finance role previously for a minimum of 2 years.
• Experience in accounting software and strong excel skills and other Microsoft office tools.
• Highly organised with strong attention to detail and ability to work in a fast-paced environment.
• Proven analytical and problem-solving skills, including capacity to perform detailed analysis while understanding the big picture.
• Ability to work independently and take initiative as well as working as part of a team.
• Strong communication skills to present or explain key findings/information to different audiences.
